Note: this feature is only available to CN Channels that have subscribed to this service.
Admins of a CN Channel that have subscribed to the Automated Reminder Emails feature are able to set up automated emails that will be sent out to Channel members under selected conditions.
Step 1:
To begin, log in to your CN Channel. Then, navigate to User Management, then click on the Email Templates tab. Next, click Automated Reminder Emails. To create a new reminder email, click + Create Email.
Step 2:
The email creation form has 4 parts: Email name, Event and Condition, Recipients, and the Email itself.
- Email name: What the email will be labeled. It is only for CN Channel admins to distinguish different emails. It is not seen by the email recipients.
- Event: What triggers the email to be sent automatically.
- Condition: When the event happens, such as having not visited CN for X days.
- Recipients: Who receive the email. The options are: All Channel Members, Members with User Labels, and Students in Selected Courses.
- Email: The email Subject and Body that the recipients will receive.
- Auto-Generated Data Fields: Placeholder text that you can insert in the body of the email. They will be dynamically filled in when the email is sent out, such as a recipient's name or the course name. You click each blue tag to insert them. In the email body, each inserted data field appears in { }. Please do not edit the text inside the { }.
Right now, there are 7 different events you can choose from. They are:
- Course Events:
- Course Visit: Sent when a student has not visited a course for X days.
- Course Completion: Sent when a student has not completed a course X days after joining the course.
- Account Events:
- CN Visit: Sent when a Channel member has never logged in to CN after X days since account creation, or, when a Channel member has not visited CN for X days.
- Inactive Account: Sent when a Channel member's account has become Inactive for X days.
- Account Expiration: Sent when a Channel member's account is set to expire in X days.
- ePortfolio Events:
- ePortfolio Progress: Sent when a Channel member's account has been created X days, but their ePortfolio progress (completion rate) is below Y percent.
- Institution Showcases: Sent when a Channel member's account has been created X days, but either a specific or a certain number of institution Showcases have not been edited.

Step 3:
After the email form is filled out, click Save. You may click "Preview" from the bottom to preview your email.
The email will begin being sent to students when the event conditions are met.
Notes:
1. CN checks user status against the set conditions on a daily basis. So, there may be a slight delay of a few hours.
2. Channel users who have met the condition (e.g., you set "has not visited CN for 30 days", but they have not visited CN for more than 30 days) will immediately receive the reminder email after it is set up.
3. Each reminder email is only sent out once. If you wish to remind users about an event several times, multiple emails should be set up at varied time points (such as 30, 60, and 90 days).
Manage Created Reminder Emails
You can use the Actions options on the right side of the list to edit the email, delete the email, view email recipients, and disable/enable the email.
