Licensing institutions always ask us how to handle students who are about to graduate. This article aims to answer this question and give institution admins some guidance.
When it comes to graduates, two actions are typically involved:
- Update user email address
- Change account status or purge accounts
Update User email address
CN users have lifelong access to their CN accounts. After leaving their institution, they can continue to use their CN ID (also called CN Number) and CN Password to log in. However, to be able to receive CN emails and reset their password down the road, they'd better associate their CN account with a personal email address after graduation. Therefore, we recommend institutions do one of the following before students lose access to their institutional email:
- Remind them to update their CN email address and share this guide for them to follow, Or
- CN Channel admins update email addresses for graduates (if you know their personal email addresses) in CN Channel>>User Management>>Other CSV Options>> CSV Update Update Primary Email
Change account status or purge accounts
Suppose your institution still has plenty of user quota and wishes to engage alumni on CN. In that case, your Channel admin can upload a CSV file to change the graduates' account status from Active to Alumni. This option is under CN Channel>>User Management>>Other CSV Options>>CSV Update User Status.
After the status change, all graduates will remain members of your CN Channel and be automatically placed in the Alumni Network.
If your institution needs to release some user quota, purging accounts (i.e. remove users from your CN Chanenl but keep them as public CN users) after students graduate is what you want to do. There are two ways to purge accounts:
- Import the email addresses of the graduates as a CSV file through CN Channel>>User Management>>CSV Remove Users
- If the email addresses of the graduates are not easily available, CN Channel admins could also use the Mass Remove Users feature to purge accounts based on last login and user labels.
